Some of my favorite maintenance lists in People are:
Profiles with missing information. Look for things like missing gender, marital status, age and email or phone numbers.
Email addresses that are blocked.
Children who are marked as the Primary within the household.
Background checks that are about to expire in the next 30 days.
Profiles with no activity over a period of time.
Volunteers within Services who haven’t served in over 3 months.
Profiles with no membership type set.
If a multi-campus church, profiles without a campus set.
Automation: Let the Tech Do the Work
Embrace automation wherever possible. Using lists with automations gives you the power to update profile information without having to manually visit each profile and make the update. As an example, for teens that have just turned 18, create a list to watch for people who are “at least 18 years of age” and set up an automation to change their Child/Adult status to “Adult”. Through a list for newly created profiles, you can find new visitors and add them to a Connect or New Visitor follow-up process. It's like having an assistant who works 24/7, without the coffee breaks.
Training: Knowledge is Power
Don’t go at it alone! Train others on your team on how to use Planning Center effectively. Regular training sessions ensure everyone is on the same page and using the database to its full potential. Create stakeholders who oversee certain areas of your database and help you keep things in check. Think about who can help manage the duplicate profiles each Monday morning or designate someone to review new profiles created over the past week to verify membership types or campus designation is set. Avoid having only one person in charge of database maintenance, which is what we call a “single point of failure.” If your database manager goes on vacation or the Lord calls them into another season somewhere else, you may be stuck with a large gap of time when no maintenance is being done. Create redundancy in your database maintenance routines by training additional “PCO Champions” on your team.
